Our Tax Return Process


1. You give us your documents

Upload to Client Portal, Fax, Mail, or drop off your tax documents to us. Examples of these documents are W2, previous year's return, K1, etc.

2. We prepare your return

Once we have everything necessary, we will begin preparation.

3. We ask for any additional info

You will receive an email or phone call and we will tell you the exact documents we still need.

4. You give us additional documents

Just like when you originally gave us your documents, you can upload, mail, fax, or drop off your additional documents.

5. CPA does final review

CPA checks for compliance and makes sure that the return matches the information you provide.

6. We upload a draft

We will upload a draft of your return to your client portal. This will include: client copy of the return, E-file form, filing instructions, invoice, and any vouchers.

7. You review, sign, and approve

You will review and approve (or reject if any changes are necessary) the client copy of the return, pay the invoice, and sign the e-file form.

8. CPA files your return

With your signed e-file, the CPA will file the return which will be sent to the taxing authorities.

Before providing services, clients must review and sign our engagement letter.

Please note variations exist for payroll and bookkeeping services.

SAMPLE:

Dear Client,

This letter is to confirm and specify the terms of our engagement with you and to clarify the nature and extent of the services we will provide. In order to ensure an understanding of our mutual responsibilities, we ask all clients for whom returns are prepared to confirm the following arrangements. 

We will prepare your Federal and State income tax returns for tax years requested from information which you will furnish to us. We will not audit or otherwise verify the data you submit, although it may be necessary to ask you for clarification of some of the information. We will furnish you with questionnaires and worksheets to guide you in gathering the necessary information. Your use of such forms will assist in keeping the fee to a minimum. 

It is your responsibility to provide all the information required for the preparation of complete and accurate returns. You should retain all the documents, canceled checks and other data that form the basis of income and deductions. These may be necessary to prove the accuracy and completeness of the returns to a taxing authority. You have the final responsibility for the income tax returns and, therefore, you should review them carefully before you sign them. 

Our work in connection with the preparation of your income tax returns does not include any procedures designed to discover defalcations and/or irregularities, should any exist. We will render such accounting and bookkeeping assistance as determined to be necessary for preparation of the income tax returns.

The law provides various penalties that may be imposed when taxpayers understate their tax liability. If you would like information on the amount or the circumstances of these penalties, please contact us. 

Your returns may be selected for review by the taxing authorities. Any proposed adjustments by the examining agent are subject to certain rights of appeal. In the event of such government tax examination, we will be available upon request to represent you and will render additional invoices for the time and expenses incurred. 

If your return is not filed by April 1st, we will automatically file an extension on your behalf. If for any reason a late filing extension is needed, please note that an approved extension application is an extension of time to file tax returns. It is not an extension of time to pay taxes. All taxes are due April 15th. We highly recommend paying an estimated amount on or before 4/15 to minimize penalties if you believe you owe any taxes. You can contact us if you need help estimating the amount you owe. Please let us know if you make any payments to either the IRS or the state on or before April 15.

Our fee for these services will be based upon the amount of forms and procedures required at standard billing rates plus out-of-pocket expenses. All invoices are due and payable upon presentation. 

If the foregoing fairly sets forth your understanding, please sign the enclosed copy of this letter in the space indicated and return it to our office. However, if there are other tax returns you expect us to prepare, please inform us by noting so at the end of the return copy of this letter.
